RETURNS AND CANCELLATIONS POLICY
The cancellation / refund policy below applies to all purchases made at PILATES IN TARLETON. By placing an order with us or making a purchase you agree to accept the following cancellation / refund policy. If you do not agree to the policy below then you should not make a purchase with PILATES IN TARLETON.
ORDER CANCELLATION / REFUND POLICY
You may cancel your order for up to 1 hour after the transaction. If you cancel within this period, any payments made by you will be refunded within 30 days. Please note an admin fee of £15 will be charged for all returns. If you do not cancel within 1 hour, we will confirm your order. Once confirmed, an order is non-refundable. It may be transferable to another product within the same term at the discretion of Pilates in Tarleton, subject to availability and suitability, but a transfer is not guaranteed. Order cancellations must be made by email to info@pilatesintarleton.co.uk / pilatesintarleton@gmail.com within 1 hour of purchase.
CLASS CANCELLATION / ACCOUNT CREDIT RETURN POLICY
Classes can only be booked using class credits via one of the Membership options or a Class Pass. Classes may be early cancelled at least 24 hours
Once an Event or Beginners Course running on specific dates is booked your space is confirmed for the event or all sessions on the course. To cancel an event or Beginners course we require 48 hours prior to the first date of the course or the event (or as per the T&C’s of the event) by email info@pilatesintarleton.co.uk / pilatesintarleton@gmail.com to retain a credit note for future use. Please see Beginners Course Cancellation Policy below.
BEGINNERS COURSE CANCELLATION POLICY
Cancellation of Beginners Courses:
Once a Beginners Course is booked your space is confirmed for the advertised dates of the course.
Beginners Courses may be cancelled by sending an email to pilatesintarleton@gmail.com or info@pilatesintarleton.co.uk.
The cancellation request must be made at least 48 hours before the scheduled start date of the course.
Upon cancellation of the course, you will receive a credit note for future use.
Individual sessions within a Beginners Course or event may not be cancelled.
With a minimum of 1 week’s notice prior to an individual Beginners course session/date, we may be able to arrange a swap for a maximum of 1 date/session per Beginners course. This swap must be to an alternative Beginners Reformer course session within the dates of your original course. However, please note that all our Beginners Reformer Courses are usually fully booked, availability to swap is subject to the availability of another client who also wishes to swap, and a swap cannot be guaranteed.
CLASS CANCELLATION POLICY – 24 hours notice is required for cancellation of single sessions or sessions paid for as part of a Membership or Class Pass. Missed sessions without the appropriate notice will be charged as if attended as your reservation has taken a space that could have been offered to another client.
Medical Cancellation – Cancellation is permitted where a client is not able to participate in a single session for medical reasons. A doctor’s note confirming that the client was not permitted to participate is required within 7 days of the missed session and, upon receipt, a credit for a make-up session will be issued. Classes may be cancelled at least 24 hours before the start of the class via the app by phone 01772 813639 or by email pilatesintarleton@gmail.com / info@pilatesintarleton.co.uk
UNLIMITED CLIENTS FAIR USAGE POLICY
UNLIMITED CLIENTS FAIR USAGE POLICY
Unlimited Pass clients will be required to pay a £12.00 Cancellation Fee for ‘No Shows’ and ‘Late Cancellations’ (less than 24 hours prior to class).
Spaces are limited, and unattended reservations and late cancellations prevent other clients from booking.
Unlimited Pass clients will be permitted 2 free late cancels per month if their reservation did NOT take a space that could have been offered to another client within the 7 days prior to the session. Our Unlimited Membership/Pass Fair Usage policy is to ensure that our booking system is fair for all clients.
TEACHER SUBSTITUTION
Teachers may be substituted for another suitably trained teacher at the discretion of PILATES IN TARLETON. As we are still providing a class with the same content and quality, refunds will not be granted for any reason in the event of Teacher Substitution.
OUR COMMITMENT POLICY
PILATES IN TARLETON reserves the right to close the studio for up to two weeks over the Christmas/New Year period and for up to two weeks during the summer. Offering you 48 weeks of classes per year. PILATES IN TARLETON reserves the right to close the studio on Bank Holidays. Extensions will only be granted to clients on Class Passes where classes are not held for more than 3 consecutive days. PILATES IN TARLETON reserves the right to review and change these Terms & Conditions at any time. We will give you 7 days written notice of any changes.
COVID-19 POLICY
In the event that PILATES IN TARLETON is required by law to temporarily close or group classes are restricted in capacity or not permitted due to Covid-19 restrictions, studio group classes will move online. In the event of studio closure should clients not wish to attend online group classes they must notify PILATES IN TARLETON in writing to info@pilatesintarleton.co.uk/pilatesintarleton@gmail.com to cancel their membership providing 1 full calendar months notice prior to their next payment. Should clients not wish to attend online group classes Class credits will be frozen from the date of studio / group class closure and available to the client on the date we re-open. Any class / course / session credits frozen will be available to re-
activate upon the studio re-opening / group classes resuming for a maximum period of 12 months.
In the event that a staff member or teacher is required to isolate, and an alternative staff member or teacher is not available to teach in studio the class will move online. In the event PILATES IN TARLETON needs to move a class to run online only we will attempt to contact all clients via email & text message who booked the studio class prior to cancellation and will return any credits to clients who booked prior to cancellation. Clients and/or members must ensure that they update their account with the correct contact information. No refunds will be made unless no acceptable alternative is offered.
LIABILITY WAIVER POLICY
By purchasing any package with us whether in person or via our app or online store you confirm you have read and accepted our terms and conditions, liability waiver policy and Privacy Policy. For full information please visit www.pilatesintarleton.co.uk.
The below Liability Waiver Policy must be signed/accepted by any client or member taking classes with PILATES IN TARLETON. PILATES IN TARLETON and their management reserves the right to refuse any client or member who has not signed/accepted the below waiver, prior to commencing any class or workshop held by PILATES IN TARLETON.
I am registering to participate in Pilates, Barre, Yoga or fitness classes/workshops with PILATES IN TARLETON.
If you have a medical concern/problem or health-related question, please consult with your GP before participating. Consult your GP/physician before beginning this or any other exercise program.
The instructions and advice presented are in no way intended to be substitute for medical counselling/advice.
Not all exercises are suitable for everyone and this or any other exercise program may result in injury.
Any user of this exercise program assumes the risk of injury resulting from performing the exercises shown. The creators, producers, participants, instructors and distributors of this program disclaim any liability or loss in connection with the exercises and advice contained herein.
I, the undersigned, hereby state that I wish to participate in the Pilates, Barre, Yoga or fitness class/course/workshop. I realise that my/our participation in these activities involves potential risk of injury, including but not limited to bodily injury, heart attack, stroke, or even death. I also recognise there are other risks associated with exercise and that it is not possible to list every one.
Covid-19 Policy. I confirm that when attending the studio I will follow any social distancing rules and policies of the studio at that time. I confirm that I will not attend the studio if I am suffering from ay Covid-19 symptoms, or have tested positive within the past 7 days and will not return to in person studio classes before 2 consecutive negative lateral flow tests.
I know and understand the risks of exercise, understand that injuries are a possibility, and I hereby assume all risks of injury which could occur by reason of my/our participation in this Pilates, Barre, Yoga or fitness class. I hereby state that I am in good health and are able to take part in this activity. I take full responsibility for my/our own health and well being and agree that any instructions received will be used at my/our own risk.
I have disclosed above any relevant medical information and understand that I/We are participating at my/our own risk. NO Refund will be given under any circumstance.
My signature below/on the attached waiver form also acknowledges my consent to be videotaped, audio recorded and/or photographed during the class, and grants the instructor the sole right to own, use and modify the images and/or recordings for any and all purposes worldwide, including but not limited to advertisements, marketing, and all commercial purposes and in all forms of media, without any compensation (including royalties) in perpetuity. I waive any right to inspect or approve any images or recordings and waive any rights of ownership to the same. Please note we will usually run classes specifically for the purpose of filming and photography and this is unlikely to occur in regular scheduled classes.
I have read and agree to the Privacy Policy of Pilates in Tarleton. I also agree to receive emails and marketing material from Pilates in Tarleton and understand that I can unsubscribe at any time by contacting Pilates in Tarleton or by pressing the unsubscribe link at the bottom of the email.

CLASS PACKAGES
CLASS PACKAGES POLICY
Class Credits (FREE Trial, Single Drop in, Class Passes) have an expiration date that is clearly stated on the sales receipt and/or your online account details and cannot be used after this date. Any unused expired credits will not be refunded. Exceptions may be made for medical reasons such as illness or injury with accompanying documentation at our discretion, in which case an admin fee of £15 will be charged. Management reserve the right to refuse to grant credit extensions.
Please note class package credits cannot be transferred, frozen or extended.

MEMBERSHIPS
Before signing up to a monthly membership subscription with PILATES IN TARLETON, please ensure that you have read these Terms and Conditions thoroughly. By purchasing a PILATES IN TARLETON membership subscription, you are confirming that you have read these Terms and agree to be bound by them. These Terms constitute a membership contract between you (the Client) and us (PILATES IN TARLETON). All memberships are non-transferrable.
CONTRACT TERM
The minimum membership contract is 3 months (or as per the contract agreement). You will pay a monthly fee (as per membership option) which will debit your account on the agreed date every month.
MEMBERSHIP FEES
PILATES IN TARLETON reserves the right to review and change membership fees. We will give you 30 days written notice of any changes. If your membership comes to and end and you start it again, your new membership fee will be charged at the prevailing rate at the time of the renewal. If you fall behind with your membership fees and this is not caused by a bank error, we reserve the right to suspend or cancel your membership.
MEMBERSHIP CLASSES
Classes credits must be used within each month of your contract. Class credits cannot be carried over or extended.
GROUP REFORMER MEMBERSHIPS
As spaces are limited once you have signed up to a Reformer Membership you’ll be guaranteed a space in a specific class (which we’ll agree with you) and you will have priority in this class at the start of every month. You’ll be booked into your guaranteed class(es) by the studio prior to the start of each month. If you cannot make any sessions you can early cancel on the app or via email/message (providing at least 24 hours notice) to retain the credit for future use to swap to an alternative Reformer session within the month. We ask you to early cancel as soon as possible and this creates opportunities for yourself and other clients to swap to a different session. The studio guarantees your space each month in your chosen class that we have agreed with you, regrettably we cannot guarantee availability to swap to a specific alternative class but can assist you in advising where we do have availability to swap.
MEMBERSHIP CANCELLATION
When signing up as a PILATES IN TARLETON member, you join for a minimum term of 3 months, your contract will automatically renew monthly, after the initial 3 months your contract will continue to automatically renew monthly. After the initial 3 months you can cancel, upgrade or downgrade your membership at any time providing we have 1 full calendar months written notice prior to your next payment date. You must pay your full membership rate during your month’s notice. Cancellations which occur outside of the full calendar months notice will be terminated 1 month after your next payment date.

PILATES IN TARLETON reserves the right to review and change these Terms & Conditions at any time. We will give you 7 days written notice of any changes.
We want all our clients, teachers and staff to have a positive experience when attending the studio. Our studio is a space where we help our clients to workout, stretch, completely relax, focus on wellbeing and retreat from daily lives. We reserve the right to place a ban on future entry for anyone guilty of what we consider to be inappropriate behaviour that impacts the experience of other clients or upsets any staff, teachers or management. In this instance, no refunds will be given. We reserve the right to cancel your membership for conduct that in our reasonable opinion is or may be injurious to the character and reputation of the studio or in our reasonable opinion impact the experience of other clients. We may cancel your entire membership if we receive any complaint about your behaviour. If we cancel your membership for this reason we have the right to keep a proportion of the money you have paid under this agreement to cover any reasonable costs we have had to pay. We will also not accept any future applications you make for membership. We reserve the right to cancel your membership if you do not pay your membership fee when it is due and fail to make arrangements within 7 days.
